Settify’s built-in ‘Invitation’ system elevates and streamlines your client communications. Log into your Settify Admin page and click ‘Invitations’.
Why send out Invites?
- Based on past success stories, Settify’s Invite function has resulted in up to 80% successful conversion rate for our partner firms using Settify to engage and convert more clients from a simple enquiry to a fee-paying client.
- It doesn’t cost to send the invites. Settify will only charges the per-use cost once a client completes the induction intake with ample information to have a great first meeting, so it pays to test the system out and see how much success you can get with Settify as a conversion tool.
- It’s an easy to use function that makes first meetings far more productive!
- There are many additional benefits for sending invites, rather than directing clients to your website or just sending your Settify URL Link. Some are:
- You can see the user’s progress through the system, rather than having to wait for the client to request an appointment.
- The record will be pre-filled with the client’s name and email address, giving them a more personalised landing page with their name, the lawyer they are seeing, etc
- The firm and the client will both receive calendar appointments to save into their respective diaries.
- Settify sends intelligent reminders based on the appointment date (if specified). E.g. 3 days before the appointment date, etc.
How to send out Invitations?
Inviting a New Client
To send an invite to a potential new client who has not yet accessed Settify via your website, click the “Invitations” link on the Settify home page
On the next page click "Send Invite" or “+ Invite New Client”
The ‘Invite New Client’ function should be sent to any and all prospective Family Law, Wills and Estates or Probate client that approaches your firm, it is not limited to only those who have made an appointment. The system is designed to cover all circumstances, and assist in engaging those clients that may not be ready to make an appointment when you first speak.
The invite screen requires minimal information to be input by the firm, including (at a minimum:
- Select the relevant practice area for the client
- The client’s full name and
- The clients email address.
It takes less than 30 seconds to input this information. The precedent text of the email can be customised for your firm and can be updated at any time.
You can also update/amend at the time you send the invite in circumstances that require it. You can then use our easy checkboxes and drop downs to include optional fields such as the appointment date and time, a calendar appointment to be sent to the client (and you), which lawyer will be assisting the client and a short brief about the lawyer.
An Additional feature which assists in converting clients and keeping them engaged is enabled when you set an appointment date. The system sends an ‘upcoming appointment’ confirmation email which is carefully constructed, firm-branded and sets the tone for an impressive first meeting including the appointment date and time, firm’s address and the ‘Click Here to Get Started’ link which links off to the Settify system for Family Law/ Wills/Estate Disputes/Probate.
There is an option to include a First Meeting calendar invite in the email to the client.
How can you see what is being sent to the client?
To view the email that will be sent to client and check that the entered client details are correct, just click ‘Preview’. The email can also have a custom message added, or you can change the entire email by clicking the link to do so, at the bottom of the email.
Once you have sent the invite, you will receive a confirmation window. ‘Click here to return to the list of invitations’ should give you the status of the invitation link i.e. ‘Sent’, ‘Started’, or ‘Completed’.
Inviting an Existing Client
Did you know you can also send emails easily to people who originally came to your firm through Settify? Simply open their client record from the Admin Home screen, then click 'Send Follow-up' at the top of the page.
